Personal Data Processed in the Course of Communication and Service Provision

We collect the information you provide to us

when you contact us (via contact form, chat service, email, or phone),
when you order our services,
when you register as a user on the support portal, or
when you apply for a job with us.

This includes general personal information, such as name and contact information, and, if applicable, information about your position or role with the organization on whose behalf you are contacting us.

If you are a sole proprietorship ordering fee-based services, we also request your preferred payment method and billing address (for legal entities, such financial information is considered non-personal information). If you apply for a job with us, we collect your resume and other information about your qualifications that you submit to us as part of your application file.

We also process personal data that we receive from third parties. This regularly includes personal data that we receive in correspondence or meetings with customers, suppliers or other business partners, for example your name and details of your employment with the relevant customer, supplier or business partner.

To the extent necessary to achieve the purposes described in this privacy policy, we also collect general personal data from publicly accessible registers, websites, or platforms (for example to verify your signature authorization) or by obtaining information from third parties (for example for reference purposes in the application process, if you consent to this).

Provision and Use of our Website and Support Portal

Use for information

You can find out about copebit and our range of services on our website without telling us who you are.

As with any connection to a web server, the server on which we have the website provided automatically logs and stores certain technical data for a short time. This includes the IP address and operating system of your device, the date and time of use, and the type of browser you use to access the website. We process this data to deliver the website, to guarantee its stability and security, and to investigate misuse.

Hosting and content management

Our website runs on Amazon Web Services (AWS) in the Frankfurt region in Germany. Amazon CloudFront, the AWS content delivery network, sits in front of it. CloudFront holds a cached copy of our website at edge locations around the world and serves it from the location closest to you, which means that your request may be answered from an edge location outside Switzerland and the EU. The technical connection data described above is processed at that point. Our contract for these services is with Amazon Web Services EMEA SARL, Luxembourg.

The content of the website (texts, images and page structure) is managed in the content management system Storyblok, provided by Storyblok GmbH, Austria. Storyblok stores our published website content and delivers it through a content delivery network. Storyblok does not receive the contact details you send us through our forms or the chat. Editorial access to Storyblok is limited to our own staff and our web agency.

Contact forms, chat and customer relationship management

For our contact forms, the chat function on the website, our newsletter and our customer relationship management, we use HubSpot, a service of HubSpot, Inc. (USA). The personal data in our HubSpot account is stored on servers in the European Union.

When you submit a form or start a chat, we receive the data you enter, such as your name, email address, company, telephone number and the content of your message or chat conversation, together with the time of submission. We use this data to answer your enquiry and, where a business relationship results, to document it.

HubSpot also sets cookies that allow us to recognise your browser on repeat visits and to see which pages of our website you viewed before contacting us. This helps us understand which of our content is useful and to respond to enquiries in context. These cookies are only set once you have consented to them.

HubSpot, Inc. is based in the USA. Although our data is stored in the European Union, access from the USA cannot be excluded. Such transfers take place on the basis of the standard contractual clauses of the European Commission together with the corresponding Swiss safeguards.

Use of our support portal

We operate a support portal with a ticketing system to handle support requests from our customers. For the support portal, we use the support tool “Freshdesk” from the provider Freshworks. This external service provider makes the support portal available to us on a Freshworks server in the EEA.

When you register as a user on the support portal, you provide us or our external service provider Freshworks with your first name, surname, and email address. Alternatively, you have the option of logging in using sign-in services from Google (Gmail) or Facebook (Facebook Connect). If you choose this type of login, the sign-in services will authenticate your identity and transmit your first name, last name, and email address to us or to our external service provider Freshworks. Please also refer to the data protection declarations of the provider of the respective sign-in service.

Tag management

We use Google Tag Manager, a service of Google Ireland Limited, to manage the analytics and advertising tags on our website. Google Tag Manager itself does not create user profiles and does not store personal data in cookies. It loads the services described below, and it does so only for those categories of cookies you have consented to.

Web analytics

We use Google Analytics 4, a service of Google Ireland Limited, to evaluate the use of the website and to obtain information for its optimization. Google Analytics uses cookies to record which pages you visit, how long you stay, which links you follow, and approximate location, device and browser information.

Google Analytics 4 does not store IP addresses. Your IP address is used to derive an approximate location and is then discarded. For visitors from Switzerland and the EEA, this collection takes place on European servers before any onward transfer to Google LLC in the USA. Such transfers take place on the basis of the standard contractual clauses of the European Commission together with the corresponding Swiss safeguards.

We only use Google Analytics if you have consented to analytics cookies.

Advertising technologies

We use advertising technologies from Google (Google Ads). These allow us to show users of our website relevant advertising when they visit other websites or use apps. The advertisements shown on the websites you visit are based on an analysis of your previous use of our website. To enable this, the providers of these advertising technologies set cookies when you visit our website.
